SharePoint still causes a lot of confusion and we are constantly asked:

  • Why does it take me so long to find anything in SharePoint

  • I’m never certain who has access to my files in SharePoint, so I keep them on my desktop

What is SharePoint

SharePoint is Microsoft’s secure, cloud‑based platform for storing, organising and collaborating on files across your organisation. It provides shared “sites” where teams can work together, manage documents, track information in lists, and access content from anywhere. SharePoint makes it easy to store files centrally, control permissions, and keep everyone working from the latest version

Access to documentation in SharePoint is based on SharePoint site membership. If you’re not a member (or owner) of a SharePoint site, you won’t be able to access the documentation.

Where to use SharePoint

We are firmly of the belief that SharePoint should be accessed solely through a browser that way eliminating the need to worry about files syncing. It also provides you with instant access to all the additional features SharePoint has relating to your files including:

  • Check out and in
  • Super quick files search
  • File Sharing
  • Version History
  • Work in browser or desktop version of Excel, Word and PowerPoint
  • Copy and moving files
  • CoPilot actions
  • Automate

 

The only time you need files syncing to your local device is if you know you won’t have any internet coverage, on an airplane or in the middle of a field etc

And in Teams

And for those in the know you can also access your SharePoint files through Microsoft teams, that’s for another day though.
